Refund & Cancellation Policy | Programmes

1. Introduction

This Refund & Cancellation Policy applies to all bookings for Aston Fencing Academy programmes, including structured class blocks such as the 10-week fencing programmes.

By booking a place on an Aston Fencing Academy programme, parents or guardians agree to the terms outlined in this policy.

Programmes are delivered in structured blocks and places are limited in order to maintain a safe and high-quality coaching environment.


2. Programme Structure

Academy programmes typically operate in fixed blocks (for example a 10-week programme).

When booking a programme, participants are reserving a place for the entire programme duration, rather than individual sessions.

Due to the limited number of spaces available in each programme, places are allocated in advance and cannot easily be replaced once the programme has begun.


3. Booking and Payment

Full payment is required in order to secure a place on an Aston Fencing Academy programme.

Once a place has been booked and confirmed, that place is reserved exclusively for the participant for the duration of the programme.


4. Refunds

Programme bookings are non-refundable once a place has been secured, except where required by law.

This policy is necessary due to the limited capacity of each class and the preparation required to deliver the programme.


5. Missed Sessions

If a participant misses a session due to illness, holidays or other personal circumstances:

• the missed session cannot be refunded
• the missed session cannot be transferred to another participant
• the missed session may be carried forward to a future programme at the discretion of Aston Fencing Academy


6. Session Cancellation by Aston Fencing Academy

If a session must be cancelled due to circumstances such as:

• coach illness
• coach unavailability
• operational issues

the cancelled session will be rescheduled and added to the end of the programme block.

Refunds will not normally be issued in these circumstances.


7. Venue Availability

Classes take place at third-party venues.

If a venue becomes unavailable or cancels a booking at short notice, Aston Fencing Academy reserves the right to:

• secure an alternative venue
• relocate the session within a reasonable distance
• adjust the class time where required by venue availability

Reasonable notice will be provided wherever possible.

Refunds will not be issued where a suitable alternative venue or adjusted time is provided.


8. Minimum Participant Numbers

Aston Fencing Academy reserves the right to cancel or reschedule programmes where minimum participant numbers are not met.

In such circumstances participants will be offered:

• a place on an alternative programme where available, or
• a refund.


9. Exceptional Circumstances

In exceptional circumstances Aston Fencing Academy may consider refund requests at its sole discretion.

Examples of exceptional circumstances may include serious illness or injury preventing a participant from continuing the programme.

Any such requests must be supported by appropriate evidence where requested.

Refunds or credits are not guaranteed and will be assessed on a case-by-case basis.


10. Force Majeure

Aston Fencing Academy shall not be liable for cancellations, delays or changes caused by circumstances beyond reasonable control including but not limited to:

• severe weather
• venue closures
• government restrictions
• public health emergencies
• accidents
• acts of God

Where possible sessions may be rescheduled.
